Job Description
- Reporting to the Manager, Compensation, Benefits and Employee Services, this position is responsible to act as a representative of the Human Resources Employee Services Department in the effective administration and maintenance of company benefit and pension programs.
- Process enrollments for new hires; arrange for the completion of applicable forms and on-line registration requirements.
- Explain benefit coverage and pension plan options, related policies/procedures, requirements, eligibilities etc. to employees; provide guidance and support to ensure accurate and timely completion of forms to meet registration and processing timelines.
- Respond to employee requests and queries in person or over the phone regarding benefit and pension programs, life events, etc.
- Participate in a variety of annual enrollment activities such as flexible benefit, optional life and employee share purchase plan enrollments.
- Conduct presentations on a variety of employee benefit topics.
- Prepare and maintain confidential employee benefit files.
- Prepare correspondence and statistical reports. Liaise with external vendors/benefit carriers to discuss, investigate and resolve employee payment/claim discrepancies.
Key Accountabilities:
- Acts as a representative of the Human Resources Employee Services Department in the effective administration and maintenance of company benefit and pension programs.
- Processes enrollments for new hires; arranges for the completion of applicable forms and on-line registration requirements.
- Explains benefit coverage and pension plan options, related policies/procedures, requirements, eligibilities etc. to employees; provides guidance and support to ensure accurate and timely completion of forms to meet registration and processing timelines.
- Responds to employee requests and queries in person or over the phone regarding benefit and pension programs, life events, etc.; explains employee requirements, impacts to benefits upon life events such as marriage, birth of children and ensures related documentation is completed. Investigates and resolves discrepancies.
- Participates in a variety of annual enrollment activities such as flexible benefit, optional life and employee share purchase plan enrollments; ensures employees are aware of events and impacts to employee benefit choices.
- Prepares, distributes and communicates information.
- Conducts presentations on a variety of employee benefit topics including flexible benefits programs, post retirement plans, how to enroll utilizing the company’s on-line enrolment tool, etc.
- Prepares and maintains confidential employee benefit files.
- Prepares correspondence and statistical reports on a variety of employee benefit activities utilizing word processing and spreadsheet software and SAP operating system; researches information, enters data and commands to generate reports.
- Participates in employee benefit reconciliation, financial and audit activities.
- Liaises with external vendors/benefit carriers to discuss, investigate and resolve employee payment/claim discrepancies; ensures employees have an accurate understanding of the claim process, requirements and eligibility guidelines.
- Participates in team planning and quality improvement activities to enable efficiencies and streamline processes; attends meetings, provides input/recommendations to others including feedback from employees related to benefit and pension plans.
Education and Experience
- Certificate in Human Resources Management, completion or current enrolment in the Certified Employee Benefit Specialist (CEBS) Program
- or equivalent plus Two (2) years recent, related experience or an equivalent combination of education, training and experience.
