Job Description:
The Legal Administrative Assistant will provide administrative assistance on legal matters and for the general business under the direction of the company’s Vice President and General Counsel.
 
Responsibilities:
Provide administrative support to the General Counsel and attorneys on all projects and daily work, including scheduling appointments, responding to telephone inquiries, and otherwise relieving the General Counsel and attorneys of clerical work and minor administrative and business details
Schedule and organize activities such as meetings, travel, and conferences
Develop visual presentations such as graphs, charts, and word documents as required
Assist attorneys and paralegals in preparation for closings on various transactions, preparation of post-closing documents to be sent to involved parties
Assist paralegals in coordination of document distribution and production process
Maintain up-to-date files, including correspondence and other records
Organize and prioritize large volumes of information including incoming and outgoing mail
Assist in organizing and maintaining corporate minute books
Type and design general correspondence, memos, business plans, etc.
Proofread draft documents for accuracy and clarity
Act as assistant Stock Plan administrator for stock options and restricted stock
Work independently and within teams on special projects
Handle confidential and non-routine information
 
Qualifications:
Proficient with Microsoft Word, Excel and Outlook, as well as PowerPoint
Excellent oral and written communication skills
Ability and initiative to perform duties without supervision
Possess a high degree of discretion and an ability to maintain confidentiality
 
Education and/or Experience:
High school degree or equivalent required, some college preferred
10+ years work experience; preferably with at least 3 years supporting a corporate executive
 
Certificates, Licenses, Registrations:
None necessary, but being a Notary Public would be beneficial
